Refund and Cancellation Policy

We understand that plans can change. This policy outlines our procedures for cancellations, modifications, and refunds for bookings made with Venus Self Drive Car Rental.
1. Cancellation Policy
You may cancel your booking subject to the following conditions:

To cancel a booking, you must notify us through one of the following methods:
- Log in to your account and cancel the booking from your dashboard
- Call our customer service at +91 8140000679
- Email us at mahesshparmar00@gmail.co with your booking reference number
The cancellation timestamp will be used to determine the applicable refund amount.
2. Modification Policy
You may modify your booking subject to the following conditions:
2.1. Date and Time Modifications
- Modifications made more than 48 hours before the scheduled pickup time will not incur any charges, subject to vehicle availability.
- Modifications made between 24-48 hours before the scheduled pickup time will incur a modification fee of 10% of the total booking amount, subject to vehicle availability.
- Modifications made less than 24 hours before the scheduled pickup time will incur a modification fee of 25% of the total booking amount, subject to vehicle availability.
2.2. Vehicle Modifications
- Changing to a vehicle of equal or higher value is subject to availability and may require additional payment for the price difference.
- Changing to a vehicle of lower value is subject to the refund policy for the price difference based on the cancellation timeline.
2.3. Extension of Rental Period
- Extensions are subject to vehicle availability and must be requested at least 12 hours before the scheduled drop-off time.
- Additional charges will apply for the extended period at the current rate.
2.4. Early Return
- If you return the vehicle earlier than the scheduled drop-off time, a partial refund may be provided as per the following:
- For returns more than 24 hours before the scheduled drop-off time: 50% refund of the unused rental period
- For returns less than 24 hours before the scheduled drop-off time: No refund
3. Refund Process
Our refund process works as follows:
- Upon approval of your cancellation request, we will initiate the refund process.
- Refunds will be processed back to the original payment method used for the booking.
- Processing time for refunds is typically 5-7 business days, depending on your bank or payment provider.
- You will receive an email confirmation once the refund has been processed from our end.
Please note that while we process refunds promptly, the actual time for the funds to appear in your account depends on your bank or payment provider's processing times.
4. Special Circumstances
4.1. Weather Conditions and Natural Disasters
In case of severe weather conditions or natural disasters that may affect the safety of travel, we may offer the following options:
- Reschedule your booking to a later date without additional charges
- Provide a full refund regardless of the cancellation timeline
4.2. Vehicle Breakdown or Unavailability
If the reserved vehicle becomes unavailable due to mechanical issues or unexpected circumstances:
- We will attempt to provide an equivalent or upgraded vehicle at no additional cost.
- If no alternative vehicle is available, a full refund will be processed.
4.3. Serious Medical Emergencies
In case of serious medical emergencies, we may provide more flexible cancellation terms upon providing appropriate documentation (such as a medical certificate). Please contact our customer service for assistance.
5. Non-Refundable Items
The following charges are non-refundable under any circumstances:
- Booking processing fees
- Additional services that have already been provided
- Late return fees
- Cleaning fees for vehicles returned in excessively dirty condition
- Damage repair costs not covered by insurance
- Traffic violation fines and penalties
6. Changes to this Policy
We reserve the right to modify this Refund and Cancellation Policy at any time. Changes will be effective immediately upon posting on our website. It is your responsibility to review this policy periodically to stay informed of updates.
